Process Inventory
Overview
JMA’s Process Inventory methodology documents select processes to identify candidates for Process Reimagining, including Mandate Workshops and Process Streamlining and BPR projects. Output can also be used for onboarding and training and to guide strategic or operational decisions.
Deliverables
A document detailing – for each process and subprocess in scope – attributes including purpose, start, end, actors, similar processes, relevant policies and guidelines, systems in use, and challenges – including processes that are redundant, outdated, or obsolete – and opportunities.
Approach
- define scope and goals
- review existing documentation
- interview key stakeholders
- create an inventory of processes and attributes
- analyze findings to identify next steps
- review analysis with sponsors
Mandate Workshop
Overview
JMA’s Mandate Workshops bring together leaders and key stakeholders for half or full day sessions to generate new and updated philosophies and policy concepts. Output supports subsequent Process Reimagining activities including Process Streamlining and BPR projects – as well as other institutional strategies and operations.
Deliverables
A document summarizing new and/or updated philosophies and policy concepts.
Approach
- plan the session and identify participants
- facilitate select leaders and key stakeholders through a half or full day timeboxed session
- summarize output
- debrief with sponsors on the output and next steps
Process Streamlining
Overview
JMA’s proven Process Streamlining methodology generates tangible quick wins and short, mid, and long-term solutions to establish a new – or improve an existing – process.
Deliverables
An Overview document outlining project parameters, Current State Process Maps, a Briefing Report summarizing recommendations, a complete listing of all recommendations generated, a presentation outlining recommendations, and an Implementation Plan with prioritized and sequenced projects.
Approach
JMA provides complete facilitation of our Process Streamlining methodology, which includes:
- partnering with Sponsors to develop the desired future state
- facilitating a team staff and stakeholders who identify problems (if a process currently exists) and/or brainstorm new and streamlined solutions
- documenting recommendations
- supporting the team in presenting recommendations to Sponsors
- working with Process Owners to create an Implementation Plan to transition recommendations into a set of prioritized, sequenced projects
